Q&A: Restoring Beginning Balances and Deleted Items

Q.  My beginning balances for 1/1/2023 are not matching my ending balances for 12/31/2022, but I remember that when I ran the report earlier in the year that they did match.

A. This could be one of two things:

  1. You changed something in the previous year and did not re-roll into 2023.  While logged into the current year go to Utilities>Create Beginning Balances and check the Accounting box.
  2. Or you deleted a ledger account, center or division.  The best way to know is to run a Transaction Plus User Defined Report for 1/1/2023 and check the box on the top right to check for Undefined Entries.

    Anything that comes up has an error if the description next to ledger, center or division says **UNKNOWN** or **NOT USED** meaning that item was deleted from the corresponding setup file.

    The fix for a deleted account, center, or division used to be a really hassle:  you had to add the deleted item back into the table, exactly matching its original internal ID. However, if you are running FBS Version 11.5 or later, you can always restore deleted setup items.  Here's how:

  3. Open the account, center, or division setup screen and click on the Tasks menu in the upper left-hand corner and click on Restore Deleted.  (You maybe asked to click on Save first.)

  4. You will see a list of all the deleted items.

     5. Select the item or items you want to restore and press the Restore button and Save.
