Q&A of the Month:  Re-Linking Scanned Invoices

 Q.  I use the Scanner Interface and need to delete an accounting entry that has a scanned document linked to it. How do I do that without losing the document so that I can attach it to another entry?  

A.  This situation comes up from time to time for various reasons.  It only takes a few steps to correct!

 1.  Open the entry that you need to delete and click on the Display Linked Invoice button and make a note of the name of the linked document.   

  

It should be your three company initials, the year and a 3-4 digit number, as in this example:   BFH-13-5486.PDF

 

 2.  Go to your invoice folder, which  will be under your data directory ( for example: FBSWIN81/Data/Invoices) and locate the file you made note of in step 1 and rename by changing the number in the middle to two capital X's, so the name would appear like this BFH-XX-5486.  This will unlink the document. 

 

 3. Delete the accounting entry and link the renamed file to the new entry.
