SOUTH DAKOTA SUCCESS STORY, CHAPTER VII-BREEDING TIMELINE

Most cattle breeders use computers primarily to track reproductive performance.  Jorgensen Land & Cattle, Ideal, South Dakota, is also monitoring financial performance through a new system being collaboratively developed with FBS and Jorgensen controller, Daryl Ellis.  At FBS's 2002 Advanced Training Seminar, Ellis presented a timeline that depicts the overlapping cost structure of cow-calf operations.

Unlike sows, which follow a breed-farrow-wean-breed cycle, the cattle cycle is breed-calve-breed-wean.  For example, breeding begins in April of 2001, calving in February or March of 2002.  Cows are then rebred again in April 2002 to calve in February 2003.  Finally, the 2002 calf crop is weaned in the Fall of 2002.

    Therefore, if you consider each calf crop a "group' you really have two sub-groups open at one time within the same group of animals–last year's calves on the cows and next year's calves in the cows.  Figure 1 shows how this process begins with replacement heifers.

In this example, the 8009-D group represents heifer calves weaned and put into the Development stage in October 1999.  During Development stage, these animals may be culled and moved at any time to the Cull group (8009-C).

Once heifers are exposed to bulls in 2000, they are moved from the Development group (8009-D) to the First-calf Exposed Gestating group (8009-1).  From the Gestating group, heifers can be culled and moved into the Cull group (8009-C) or sold as bred animals (group 8009-S).

Group 8009-1 is reclassified as an "unweaned" group from calving in the Spring of 2001 through weaning in the Fall of 2001.  During that same period, exposed heifers are transferred to a new gestation group (8009-2).  As a result, costs are now split between two groups: the Unweaned 2001 calf crop (8009-1) and the Gestating 2002 calf crop (8009-2).  In November of 2001, the first-calf unweaned animal costs (Group 8009-1) are moved into an actual animal group.  A year later, this same process repeats for the second year calves (Group 8009-2).
    All of these factors—two years of breeding cycles, overlapping calf crops and culls—all affect the cost of the final product, the mature cow.  "Management wanted me to try to keep track of two years of replacement animals and make an allocation of that second year fallout rate against the cost of the mature breeding cow.  So at any point in time I'll have first calf heifers, second calf heifers and exposed cows group," says Ellis.  "One of the problems I had before e.CLIPSE came along was that I could never use those bred cows as a cost reducer against those weaned calves.  If you sold a high percentage of those animals as private sales of bred animals then your cost per weaned calf was greatly distorted.  At least with e.CLIPSE when I move those animals to the next stage or center, I move those costs with them.
    Next month we will examine this cost transfer process within the cowherd.

SOFTWARE Q&A – WITH Q'S FROM YOU, OUR CLIENTS!

Now that you have met with your accountant and "closed" last year's financial records you are ready to catch up on this year's records.  You have probably started this year's books, but do they have the correct beginning balances?  Are they in balance?

If your fiscal year begins Jan. 1 you need to make an adjustment entry on Jan. 1 to retained earnings for the amount of the previous year's net income.  To check your beginning balances run a trial balance beginning Jan. 1, 2003 and ending Jan. 1, 2003.  The net for the beginning period balance should be your previous year's net income.  If your only entry on Jan. 1 is the adjustment to retained earnings the current period net balance will also be the net income amount.  The net ending period balance should be zero.  Also run check register and bank account summary reports beginning Jan. 1.  The check register uses a calculated beginning balance based on Jan. 1 of the previous year.  The bank account summary beginning balance is a stored beginning balance rolled over from Dec. 31 of the previous year.  The beginning balances should be the same on each report.  If they don't agree then it means that you have a problem in the previous year, usually an undefined entry or an out of balance entry.  Use user-defined reports to find the problem.
