THINGS YOU NEVER KNEW YOUR SOFTWARE COULD DO:  COPY SETUP FILES
Here's a fast, nearly foolproof way to copy setup files (ledger accounts, centers, vendors, etc.) from one FBS company file to another.

Background

When starting a new company file in FBS users often wish to "clone" setup definitions from another company.  They have traditionally accomplished this by copying and renaming files outside the program using DOS or Window Explorer.  However, this has always been a painstaking and sometimes risky process that generally requires a support call or two.

How it Works

  1.   In the destination company go to Utilities | Set Preferences and enter these values in the first blank line:

  2.   Exit and reload the destination company.  Select Setup | Copy Setup Files.  A screen like the one below will appear:

  3.   During this process it's essential to remember what company you're logged into.  You can verify by checking the file name in the upper left corner of the screen (in this example "MTY").  This company will be referred to as the destination company-the company in which you want to replace selected setup files from another company (the source company).  Available source companies appear in the panel on the right side of the screen.

  4.   If the source company is in a different location on your computer, click on the Change Source button to locate.

  5.   Select the source company by clicking on the name.  (It will then be highlighted and the dates in the Destination column will change.

  6.  
To copy all setup files from the source to the destination company, click the Set All to Yes button.

  7.   To select individual files, enter Y in the appropriate line.  (In this example we've selected Vendors, Input Macros and Report Macros.)

  8.   To complete the copy processes, click the Copy button.  You will be warned that you are about to replace 1 or more setup files.  If you are sure you want to do this, click on the Yes button.

  9.   As a guide the Source and Destination columns display the dates and times each file was updated.  (Normally you don't want to replace a newer file with an older one.)

Summary
Advantages

•    Doesn't require knowledge of DOS or Windows Explorer
•    Easiest way to "clone" new companies from existing companies
•    Displays date and time information for source and destination files
•    Free


Disadvantages

•    Requires extreme care to avoid overwriting "good" files
•    No way to recover overwritten files

What is the Red Wing Payroll mid-year upgrade all about?
A. If you use FBS Software and Red Wing Payroll you will soon be receiving the mid-year upgrade to Payroll directly from Red Wing Software.  Payroll version 12.0 ensures compatibility with Microsoft® Windows Vista™, expands tax form processing, and enhances direct deposit functionality.  Additional state and federal tax forms have been added to the system including W-4, W-5, 944/944-V, 945/945-V, I-9 and Federal Tax Deposit Coupon forms.  These forms are now easily produced within the system.  In the direct deposit function, output capabilities are now expanded, and an option has been added to store and output non-ABA numbers.  Version 12.0 also has a new interface to FBS TransAction Plus.

What this means for FBS Users:

  1.   Be sure to install Payroll 12.0 to your current Payroll (11.0) folder.  For most FBS users this is FBSWIN on the local C drive or on the server.  (Check the properties of your FBS icon for the start in directory.)  Complete installation directions are included with the CD.

  2.   When you enter Payroll for the first time after the installation you will be in the SAM (Sample) company, Mid County Supply.  Change Company to your company.
  3.   Go to Payroll | Setup | Customization.  On the Interface tab in the General Ledger Interface click on the Modify button.  Choose FBS from the list. Then click on OK.
  4.   On the PR Setup | Customization | Posting tab select Post to General Ledger Detail by Project.  Also change the G/L Transaction Description to employee Name. Then click on OK.
  5.   Repeat steps 3 and 4 for each company setup in payroll.
  6.   Open FBS and go to Setup |Accounting | Ledger Accounts.  Save the ledger accounts.
  7.   In Payroll reselect your company under Change Company.
  8.   Check Setup | Customization | Accounts.  Your ledger accounts from TransAction Plus should be listed when you click on the arrow at the right end of each setup window.  Also when you post to the general ledger the "Save in" location should be Data (under FBSWIN) and the posting file will be ta-pay72.
